Run WAAG and operational reports

Use WAAG and Reports to review revenue, appointments, cancellations, no-shows, treated hours, clinician hours, case metrics, and delivery trends.

Before you start

  • Your clinic has appointment, invoice, payment, and clinician data for the period you want to review.
  • You have access to Reports, WAAG, or dashboard rollup panels.

Who can do this

Owners, admins, clinic managers, HR, and supervisors can access reporting surfaces according to their sidebar permissions.

Step by step

  1. 1

    Open WAAG from the sidebar for a week-at-a-glance operating view, or use the dashboard WAAG panel if your role has it.

    Pick the clinic and date range. Use custom ranges when reviewing a billing period, payroll period, or month-end window.

    Review revenue, appointment totals, cancellations, no-shows, treated hours, and clinician-hour trends. Drill into a metric when a number looks off.

    Open Reports for deeper views such as active clients, appointment types, payroll summary, cancellation tracking, phone calls, and case metrics.

    Use Analytics for click analytics when you need to review app usage patterns rather than clinical or financial outcomes.

If something isn’t working

Tap a question to see the likely cause and the fix.

WAAG and Reports show different numbers.

Why: They may use different date windows, clinic filters, or definitions. For example, treated hours depend on appointment status and completed documentation.

Fix: Align the date range and clinic filter first, then open the detail report for the metric you are checking.

A cancellation is not counted where I expect.

Why: Cancellation reports depend on the appointment status and reason fields being set consistently.

Fix: Open the appointment history, confirm the cancellation status and reason, and correct the appointment if clinic policy allows it.
