Why can’t I approve this SOAP note?
If you expected an ‘Approve’ button but don’t see one, it’s almost always because you are not set as the client’s current supervising clinician — even if you’re an SLP.
Who can do this
Only the client’s currently-assigned supervising clinician (an SLP) can approve. Owners may override. Admins and office managers cannot approve clinical notes.
Why: This is a clinical-compliance protection: supervision is tied to the specific person assigned to the client, not just to anyone with the right job title.

I’m an SLP but the Approve button is missing.
Why: You are not the client’s current supervising clinician. SLP specialization alone is not enough — the assignment on the client record is what grants approval rights.
Fix: Ask the clinic manager or owner to update the client’s supervising clinician, then refresh your dashboard.
I approved another note for this CDA yesterday — why not this one?
Why: Supervising clinicians are assigned per client, not per CDA. You may be the supervisor on one client but not on another.
Fix: Open the client record. The supervising clinician is listed under the client’s profile.
The CDA hasn’t marked the note complete yet.
Why: The approval button only appears when the note’s status includes ‘Soap Notes Completed’.
Fix: Ask the CDA to finish their draft and click ‘Mark Complete’.
I’m an admin or office manager — can I approve on behalf?
Why: No. Only the supervising SLP (or the owner in exceptional cases) can approve.
Fix: Contact the supervising clinician directly, or re-assign supervision if the original SLP is unavailable.
