Keep clinic services, insurer records, rooms, equipment, and resource schedules accurate so scheduling, billing, and reporting use the right defaults.

Before you start

  • You know the clinic service names, prices, durations, insurer details, and resource availability.
  • You have admin, HR, owner, or clinic manager access to the configuration pages.

Who can do this

Owners, admins, clinic managers, and HR users manage these setup records. Changes can affect invoices, schedule conflicts, payroll, and reports.

Step by step

    Open Services to add or update billable service definitions, default pricing, and appointment defaults.

    Open Insurers to maintain insurer records used by client billing and invoice routing.

    Open Resources to add rooms, equipment, or other bookable resources that should be checked during scheduling.

    Use Resource Schedule when resource availability needs a calendar view or when a resource booking needs to be added outside a client appointment.

    After changing service pricing or resource configuration, spot-check a new appointment and invoice before assuming the new defaults are live everywhere.

If something isn’t working

A service price on an old invoice did not change.

Why: Invoices preserve their line items. Updating a service changes future defaults, not already-created invoices.

Fix: Edit or adjust the invoice directly if the historical invoice needs a correction.

A room conflict was not caught.

Why: The appointment may not have had the resource assigned, or the resource schedule may not cover that time.

Fix: Open the appointment and confirm the resource assignment, then review the resource record and schedule.
