Add staff, assign roles, configure payroll type and clinic access, and troubleshoot missing menu items or dashboard widgets.

Before you start

  • You have access to HR, Clinic Staff, or the user management area for your deployment.
  • You know the user's job function, clinic access, specialization, and payroll type.

Who can do this

Owners, admins, clinic managers, and HR users manage staff records depending on clinic policy.

Why: Roles control sidebar access, dashboard widgets, clinical sign-off, payroll surfaces, and financial/integration visibility.

Step by step

    Open HR or Clinic Staff and find the user. Create a user only after confirming they do not already exist.

    Set the role or roles: owner, admin, clinician, bookkeeper, officeManager, HR, or supervisor. Some clinics also use a front-desk access pattern through admin-style permissions.

    For clinicians, set specialization such as SLP, CDA, or AUD, and confirm supervisor relationships when SOAP approval depends on them.

    Set clinic access and payroll type. Payroll type controls whether the user sees Payroll or Hourly Payroll in addition to their role-based menu.

    If the account was created with a temporary password or the user is locked out, reset the password and require a password change on next login when appropriate.

If something isn’t working

A user has the right role but the wrong dashboard.

Why: Simone merges role defaults and saves per-user dashboard layout preferences. A cached customization can hide expected widgets.

Fix: Ask the user to use Customize > Reset to Default on the dashboard, then confirm their role and specialization.

A clinician cannot approve CDA SOAP notes.

Why: They may not be marked as an SLP, or the CDA may not be supervised by that SLP in the client or appointment relationship.

Fix: Check the SLP specialization and supervision assignment, then reopen the SOAP approval queue.

Payroll is missing from a user's sidebar.

Why: Role access and payroll type both affect payroll visibility.

Fix: Confirm the user has a payroll-eligible role and that payrollType is set to fee for service or hourly as intended.
